A free invoice generator should get you from a blank page to a PDF you can send in a few minutes, with totals you can trust. This one does that in your browser. You fill in a form, watch the live preview update beside it, and press Download PDF. There is no account, nothing is uploaded, and the math is exact to the smallest unit of whichever currency you choose.

How to use the invoice generator

  1. Add your details and your client’s. Enter your business name and contact details, then the client’s. Upload a logo if you have one. The logo stays in your browser like everything else.
  2. Set the invoice number, dates and currency. Pick one of 53 currencies. Set the issue date and the due date, so the payment deadline is stated rather than implied.
  3. Add line items. Give each line a clear description, a quantity and a unit price. Add a discount to a single line when it applies to one item rather than the whole invoice.
  4. Choose how tax works. Enter a rate and mark it exclusive, which adds it on top, or inclusive, which means the price already contains it. Check the preview to see the tax shown separately.
  5. Write notes and payment instructions. Say how you want to be paid and add any terms, such as a thank-you or a bank reference to quote.
  6. Download the PDF. Choose Letter or A4, then download. Your draft stays saved in this browser, so you can reopen it and change one line for next month.

What to include on an invoice

A good invoice answers four questions for the person paying: who is asking, what for, how much, and by when. At a minimum, include:

  • Your business name and contact details, so the client knows where to send questions.
  • The client’s name and address, which also helps their accounts team file it.
  • A unique invoice number. Sequential numbers make a paper trail easy to follow. For more on schemes, see the guide to invoice numbering.
  • The issue date and the due date. “Due in 30 days” is easy to misread. A calendar date is not.
  • Itemized lines with description, quantity, unit price and line total.
  • Tax shown as its own line, with the rate, if you charge it.
  • The total due and the currency.
  • Payment instructions, such as bank transfer details or a payment link, plus any late payment terms you have agreed.

Tax rules differ by country and by state. Your own tax agency is the source for what an invoice must contain where you operate, and this page is general information, not legal advice. The longer checklist lives in what to include on an invoice.

Worked example

A consultant bills a client for design work. Twelve hours at 100.00 each, 8.25% sales tax added on top, due in 14 days.

INV-0042 · Acme Studio

ItemQtyAmount
Logo design12$1,200.00
Tax (8.25%)$99.00
Total$1,299.00

The subtotal is 12 x 100.00 = 1,200.00. Tax is 1,200.00 x 8.25% = 99.00. The total is 1,299.00. If the same price were inclusive of tax, the 1,200.00 would be the total and the generator would work backward: 1,200.00 divided by 1.0825 is 1,108.55 before tax, leaving 91.45 of tax.

Currencies, decimals and rounding

Not every currency has two decimal places. The Japanese yen has none, so 12,500 JPY is a whole number and never shows cents. The Kuwaiti dinar has three, so a price of 12.500 KWD keeps all three places. The generator follows each currency’s own precision, which means the totals you see in the preview are the totals in the PDF. If you invoice in more than one currency, create a separate invoice for each rather than mixing them on one document. A currency and a tax rate that match your client’s expectations avoid most follow-up emails.

Common mistakes to avoid

  • Missing or vague due dates. Without a date, clients pay when it suits them. State one.
  • Reusing an invoice number. Two invoices with the same number cause confusion in your records and theirs.
  • Lumping everything into one line. “Website work: 3,000.00” invites questions. Three or four itemized lines rarely do.
  • Entering a tax-inclusive price as exclusive. This overcharges by the tax amount. Check the preview before you download.
  • Forgetting how to pay. If your bank details or payment link are not on the invoice, the client has to ask, and that costs you days.
  • Not keeping a copy. Save the PDF in your own files. The browser draft is a convenience, not a records system.

Where to go next

If you bill the same kind of work regularly, start from a consulting invoice template with sample lines already filled in. To check the tax on a price before you enter it, use the sales tax calculator. And if you need a quote before the work starts, the estimate generator builds one the same way. When you are ready to learn the fundamentals, read how to write an invoice.

Frequently asked questions

Is the invoice generator really free?

Yes. The generator is live today, needs no account and has no watermark limit to unlock. PayToMe's plans are separate and apply only to the invoicing app at app.paytome.si, which has a Free plan.

Is my invoice data uploaded anywhere?

No. The generator runs entirely in your browser, and your client names, prices and logo are never uploaded. A draft is saved only in your own browser storage so you can come back to it, and clearing your site data removes it.

Which currencies does it support?

It supports 53 currencies. Zero-decimal currencies such as JPY show whole units, and three-decimal currencies such as KWD show three decimal places, so totals are exact rather than rounded to two places.

How does it handle tax that is already in the price?

Each tax rate can be set as exclusive, added on top of the price, or inclusive, already contained in the price. With an inclusive rate the generator works backward to show the tax portion without changing the total.

Should I pick Letter or A4?

Use Letter if your client is in the United States or Canada, and A4 for most other countries. It only changes the PDF page size, not any numbers.
