If you need a plumbing invoice template, start with one that separates the four things a homeowner actually wants to understand: why you came out, how long you worked, what parts went in, and why anything cost extra. This page explains how plumbers can build that invoice, what to put on it, which payment terms tend to work, and which mistakes cause the most arguments. The “Use this template” button on this page opens the free generator with the sample lines already filled in, so you can swap in your own rates and send it.
Why plumbing bills differently
Most trades mix labor and materials. Plumbing adds a few wrinkles that make a vague invoice especially risky.
First, many jobs begin as a diagnosis. A customer calls about a slow drain or a wet ceiling, and neither of you knows yet whether the fix is ten minutes or a full afternoon. That is why a call-out fee, sometimes called a service call or trip charge, is common. It pays for the drive, the first look and your time before any repair starts. If you charge one, say what it includes and whether it is credited toward the repair.
Second, plumbers buy parts at trade prices and sell them at retail, with handling built in. Customers know they could buy a faucet cartridge themselves, so an unexplained parts total feels like a markup they are not allowed to see. A short, honest itemization removes most of that friction.
Third, plumbing is often an emergency. A burst pipe at 11 pm is a different service than a scheduled fixture swap, and the after-hours rate needs to be visible as a line, not hidden inside a higher hourly figure.
What to include on a plumbing invoice
Every invoice should carry the basics covered in our guide to what to include on an invoice. For plumbing, add these trade-specific details:
- Your business name, address, phone and license number. Many states and cities require a plumbing contractor license, and customers and insurers often ask for it. Check your own state’s and city’s rules for what must appear on documents.
- The job address, which may differ from the billing address when you work for landlords, property managers or a homeowner’s family member.
- Date of service and a short job description, in plain words: “Replaced failed shutoff valve under bathroom sink, tested for leaks.”
- Call-out or trip fee, shown as its own line.
- Labor with hours and hourly rate, or a flat price if you quoted one.
- Parts and materials, one line each, with quantity and unit price.
- Surcharges such as after-hours, weekend or holiday rates, labeled as such.
- Subtotal, tax and total. Whether parts or labor are taxable varies by state, so check local rules. Our guide on how to add sales tax to an invoice covers the general pointers.
- Payment terms, accepted methods and any warranty note, such as “90-day workmanship warranty” if that is your policy.
A worked plumbing invoice
Here is a typical small repair, built from the sample lines on this page. A homeowner calls after hours about a leaking kitchen faucet and a dripping trap.

Payment terms that work for plumbers
Small residential repairs are usually best billed due on receipt. The work is done, the customer is standing in the kitchen, and the invoice is easiest to settle in that moment. If you send the invoice from your phone before you leave the driveway, a same-day payment is realistic.
For larger jobs, such as a repipe, a water heater replacement or a bathroom rough-in, net 7 or net 15 is common, often with a deposit up front for materials. Commercial and property-management customers frequently expect longer terms, so confirm them before you start and put them in writing. Our overview of invoice payment terms explains how each option reads on an invoice.
If you want to charge a late fee, state the rate and the grace period on the invoice itself before the due date passes, and check your local rules first. The late fee calculator helps you see what a given rate would add.
Pricing and itemizing tips
Be explicit about hourly versus flat. Flat-rate pricing is popular because customers know the cost before you start. If you charge flat, the invoice can still list what was done, with a single price. If you charge by the hour, show the hours worked and round in a way you have told the customer about, such as to the nearest quarter hour.
Show parts at the price you charge. You do not have to reveal your cost. You do need the line to match what you quoted or told the customer.
Keep emergency rates separate. An after-hours surcharge as its own line is easier to defend than a hidden premium. Mention the rate when you accept the call, so the line on the invoice is not new information.
Add disposal and haul-away when it applies. Old water heaters and fixtures take time and cost money to dispose of. Listing the item is fairer than absorbing it.
Use the same descriptions every time. Consistent wording for common jobs, like “Snake main line, up to 50 ft,” makes invoices faster to build and easier to compare over time.
Common mistakes
- A single “labor and materials” line. It is quick to write and the most common source of disputes.
- Forgetting the job address. Property managers need it to match the invoice to the right unit.
- No license number where one is expected. Check what your area requires.
- Waiting days to invoice. The longer you wait, the less the customer remembers the urgency.
- Missing payment instructions. Say how to pay and make it easy.
- Adding work without approval. If a repair expands, get the customer’s okay and note it on the invoice.
