AI invoicing: describe the work, Via drafts the invoice

AI invoicing lets you describe the work in plain words or by voice while Via drafts the invoice, fills in tax and terms, and asks before anything is sent.

Updated · By PayToMe Editorial

AI invoicing means you describe the work and software drafts the invoice for you. With PayToMe, you write or say something like “invoice Acme Studio for twelve hours of logo work at one hundred an hour, due in two weeks,” and Via, the assistant built into PayToMe, turns it into a complete draft: client, line items, tax, due date and payment link. You review it, change anything, and send. This page explains how it works, what it will and will not do, and why we built it around confirmation rather than automation.

How AI invoicing works

Traditional invoicing tools give you a form: pick a client, add a line, type a quantity, choose a tax rate, set a due date. That is fine for one invoice and slow for fifty. PayToMe starts from the way you already think about the job.

  1. Describe the work. Type it in plain English or say it out loud. You can include the client, the hours or quantities, the rate, the tax and the terms, or leave out whatever Via should already know from your last invoice.
  2. Via builds the draft. It matches the client from your list, splits the work into line items, applies your default tax rate and payment terms, and calculates the total using PayToMe’s invoice engine.
  3. You review. The draft shows every number in plain sight. Tap a line to change it. Anything Via was unsure about is flagged instead of hidden.
  4. You send it. Confirm, and the invoice goes out by email with a secure pay link.

Here is what a draft from that one sentence looks like:

INV-0042 · Acme Studio · due in 14 days

ItemQtyAmount
Logo design12$1,200.00
Total$1,200.00

Why it matters

Invoicing is rarely the work you are good at, and delays cost real money. A plumber who finishes a job at 5 pm and invoices at 9 pm after dinner gets paid later than one who invoices from the driveway. Faster drafting shortens the gap between finishing work and asking for payment, which is the part you control.

Consider a few everyday situations:

  • A freelancer on a retainer bills the same client every month. Instead of rebuilding the invoice, they say “same as last month plus two extra hours” and review the result in seconds.
  • A contractor on a job site has dirty hands and a phone. They describe the day’s work out loud, and the draft is waiting when they get to the truck.
  • A small agency invoices ten clients at month end. Each one is a one-line instruction rather than ten forms.

The point is not to remove you from the process. It is to remove the typing.

What Via does, and what it does not do

Via handles the parts of an invoice that are tedious and predictable. It does not make decisions that belong to you.

Via will:

  • Recognize clients, items and rates you have used before.
  • Suggest sensible payment terms based on your history and your trade.
  • Ask a short question when something important is missing.
  • Explain any number on the draft if you ask where it came from.

Via will not:

  • Send an invoice or email without your confirmation.
  • Change the arithmetic. Totals come from a deterministic engine, not from the AI model.
  • Guess a client, an amount or a tax rate when it cannot tell.

Details that matter

Clients and memory

PayToMe remembers your clients, their billing addresses, their usual rates and how they like to be invoiced. When you mention a name, Via looks it up. If two clients could match, it asks you to pick one rather than choosing for you.

Tax and terms

You set a default tax rate and payment terms once. Via applies them, and you can override them in the sentence: “no tax on this one,” or “due on receipt.” For work that crosses borders, multi-currency invoicing handles the currency and the right tax labels.

Voice and photos

Voice is planned for the mobile app, and photos are covered by photo to invoice, which turns a picture of a quote or a receipt into an editable draft.

Privacy

Your client list and invoices stay in your account. We do not use your data to train AI models, and Via only sees what it needs to answer your request.

Works with the rest of PayToMe

AI invoicing is the front door to everything else. Once the draft looks right, you can send it by email with a secure pay link. Text-to-pay invoices, Smart Chase smart reminders and the cash flow forecast are in development. To meet the assistant behind all of these, read about Via.

Try it today

You can sign in and chat with Via now. If you only want to see how exact invoicing works, the free invoice generator runs in your browser, handles tax, discounts and more than twenty currencies, and creates a PDF you can send right now. Via calculates its numbers the same way.

Frequently asked questions

Does Via send invoices without asking me?

No. Via prepares the draft and shows the total, tax and due date. Nothing is sent until you confirm, and you can edit any line first.

What happens if Via is unsure about a detail?

It asks. If you say "invoice Acme" and you have two clients with that name, Via asks which one. It never guesses on money or on who receives the invoice.

Can I use my voice instead of typing?

Yes. Voice input is planned for the mobile app, so you can describe a job out loud when your hands are busy.

Is AI invoicing available today?

Yes. It is live in beta. Sign in at app.paytome.si, open the chat with Via and describe the work. The free invoice generator also works without an account and uses the same exact money math.

Does Via get the math right?

The totals are never calculated by the AI. PayToMe's invoice engine does the arithmetic to the cent, and Via only fills in the inputs you can review.
