Automatic payment reminders: Smart Chase follows up for you

Automatic payment reminders chase overdue invoices for you. Smart Chase picks the timing and wording per client, from friendly nudge to firm notice.

Updated · By PayToMe Editorial

Automatic payment reminders follow up on unpaid invoices so you do not have to remember, and so you do not have to find the right words at an awkward moment. Smart Chase is PayToMe’s planned version: for each overdue invoice it suggests when to nudge and what to say, adjusts the tone for each client, and sends only what you have approved. Reminders are one of the least pleasant parts of running a business, and one of the most effective ways to get paid.

How Smart Chase works

  1. Via watches your due dates. Each unpaid invoice gets a proposed follow-up plan the moment you send it.
  2. It adapts to the client. A client who has always paid within a week gets a lighter touch than one with several overdue invoices. A large invoice may get an earlier check-in than a small one.
  3. You approve the plan. Approve once, review each message, or exclude a client. Everything is visible before it goes out.
  4. Messages go out, and stop when paid. Reminders arrive by email with a pay link; reminders by text are in development. As soon as the invoice is paid, the sequence ends. No one gets a “you owe us” message after they paid.

Why reminders matter

Most late invoices are not refusals to pay. They are forgotten emails, missed approvals and buried messages. A polite follow-up resolves a lot of that, and the longer you wait the more awkward it feels to send one. Automating the first nudges removes the awkwardness, because the software sends it, in your voice, on a schedule you chose.

There is also a cash flow reason. If you bill 4,000.00 a month and clients pay a week late on average, you are carrying roughly a week of work without payment every month. Shortening that gap is often easier than winning new work.

A polite-to-firm sequence

Here is a sequence you can use by hand today, and the shape Smart Chase will propose. Dates are relative to the due date. Adjust them to your terms.

Before the due date: a friendly heads-up

Send this two or three days before the due date, especially to new clients.

Hi Dana, a quick note that invoice 0042 for 380.00 is due on Nov 7. You can view it and pay here: (link). Let me know if you need anything from me.

The day after: a light nudge

Hi Dana, invoice 0042 for 380.00 was due yesterday. If it has already been sent, thank you and please ignore this. If not, here is the link to pay: (link).

One week late: clear and specific

Hi Dana, invoice 0042 for 380.00 is now 7 days past due. Could you let me know when I can expect payment, or reply if there is an issue with the invoice? Pay here: (link).

Two weeks late: firm, still professional

Hi Dana, invoice 0042 for 380.00 is now 14 days overdue. Please arrange payment by Nov 28. If a late fee applies under our agreed terms, it will be added as stated on the invoice. Pay here: (link). Please call me if you want to discuss.

Final notice: direct, with next steps

Hi Dana, this is a final reminder that invoice 0042 for 380.00 remains unpaid. Please pay by Dec 5 to avoid further action. If you would like a payment plan, reply today and we can agree one.

You can adapt these, and Via will draft each in your own style. For more phrasing, read the guides on how to ask for payment and the past due invoice email.

How tone and timing adapt per client

One schedule for everyone is the problem Smart Chase is designed to avoid. Examples of what it will consider:

  • Payment history. A reliable client who is two days late probably missed an email. A client who is regularly three weeks late needs earlier and firmer messages.
  • Invoice size. A large invoice may justify an early courtesy check-in.
  • Relationship. A long-time client may get a warmer message, while a first-time client gets a clear, neutral one.
  • Channel. Some clients answer texts and ignore email. Via will use the channel they respond to, within their consent.
  • Your rules. You can set boundaries, such as never texting before 9 am or never sending a final notice without your review.

Late fees and reminders

A reminder can mention a late fee only if your terms say so. State the fee on the invoice before it is due, and be consistent. Rules about late fees and interest differ by place, so check yours. This is general information, not legal advice. To work out what a fee would be, the late fee calculator is free today.

Common mistakes with reminders

  1. Waiting too long to send the first one. Silence feels like acceptance of the delay.
  2. Sending a blunt message first. Start friendly. You can always get firmer.
  3. Forgetting to stop after payment. An automatic sequence must end the moment the invoice is paid.
  4. Mixing facts and accusations. State the invoice number, amount and date. Skip the commentary.
  5. No pay link. If the client has to hunt for how to pay, they will delay.

Works with the rest of PayToMe

Reminders are strongest when paying is easy: include a payment link in every message, deliver them by text when the client has agreed, and let Via draft them as part of AI invoicing.

Frequently asked questions

What is Smart Chase?

Smart Chase is PayToMe's planned reminder assistant. For each unpaid invoice it proposes when to follow up and what to say, based on the client's history and the invoice, and it sends only what you have approved.

Will reminders go out without my approval?

You decide. You can approve a whole sequence once, review each message first, or pause a client. Nothing is sent that you did not allow, and every message is visible in the invoice history.

Can I add late fees to a reminder?

Only if your terms say so. Late fees should be stated on the invoice before it is due, and the rules on interest and fees vary by place. The free late fee calculator shows the math today.

How is this different from a fixed reminder schedule?

A fixed schedule sends the same message to everyone at the same time. Smart Chase is designed to adjust tone and timing, for example a gentler note for a client who always pays a few days late and a quicker follow-up for a new client.

Are automatic payment reminders available today?

Not yet. Smart Chase is in development. The example wording on this page works today if you send reminders yourself, and every invoice you send from PayToMe carries a link where the client can pay online.
