What is a sales receipt?
A sales receipt is proof that a customer has paid for goods or services. Learn what it includes, how it differs from an invoice and when to issue one.

A sales receipt is a document that confirms a customer has paid for goods or services. It records what was sold, how much was paid, the date and the payment method, and serves as the customer’s proof of purchase.
How it works
A sales receipt is issued at the time of payment, whether in person, online or by card. The sale and the payment happen together, so there is no balance owed. That is the key difference from an invoice, which is sent first and paid later. Read more in our guide to invoice vs receipt.
A useful receipt includes:
- Your business name and contact details.
- A receipt number and the date of payment.
- Each line item with quantity and price.
- Any discounts and sales tax, shown separately.
- The total paid and the payment method, such as card with the last four digits.
- Return or refund terms, if you have them.
You can issue a receipt for a sale that never had an invoice, such as a retail purchase, or for an invoice that has just been settled. In the second case, many businesses send a “paid” copy of the invoice or a separate receipt that references the invoice number.
Receipts matter for bookkeeping and taxes. They show when income arrived and give customers evidence for expense claims, returns and warranty claims.
Example
A tutor takes payment for a session by card.
| Field | Value |
|---|---|

| Date | October 3, 2026 |

| Subtotal | $90.00 |
| Sales tax | $0.00 (not applicable) |
| Total paid | $90.00 |

If the same tutor had sent an invoice first, the receipt would also show “Invoice INV-0211, paid in full.” Create one with the free receipt generator today, or draft the original invoice in the invoice generator.
